The passport applications are accepted in the Embassy between 09.00 AM to 11.00 AM. The time for collection of passports is between 4.00 PM to 5.00 PM.  Passports are issued within 4 weeks’ time.

HOW TO APPLY

Application to be filled online, using the website: https://passport.gov.in/nri/index.jsp external then select mission: TOGO - TOGO

  • Take a printout of the duly filled online application
  • Fill in the remaining columns by hand
  • Put signature/thumb impression in the specimen signature box, at the first page and put your signatures/thumb impressions along with date and place at the other pages in the relevant column(s).

DOCUMENT REQUIRED:

2.In lieu of lost or damaged passport:

  • REISSUE OF PASSPORTS ON EXPIRY
  • Issue of Passports on Expiry
  • Application for issue of a new passport should be made within six months before expiry of the old passport. Applications are also entertained within one year after expiry of the passport. Applicants are requested to kindly note:
  • Validity of passports is no longer being extended and new passports have to be applied for on expiry of old passports.
  • Applicants must apply for issue of new passport in time and avoid requesting the Embassy for Short Validity Passports (SVP), which are hand written, issued for a short period only and are moreover not accepted by many countries.
  • Incomplete forms will be summarily returned at the applicant’s cost.
  • Only photos as per specifications given below should be submitted. Passports Applications with photos that do not match the specifications given below are liable to be rejected by the Embassy and foreign immigration authorities.
  • Signatures/Thumb impression
  • Signatures/Thumb impressions should appear in the middle of the signature box. Females should use their right thumb, and males their left thumb on the application forms. Signatures/thumb impressions may be done in black ink appearing within the signature box. Signatures/thumb impressions running out of the signature boxes will not be accepted. Signatures/thumb impressions must be submitted in original and fax copy of the same cannot be accepted.
  • Signatures of children below 15 years of age are not required. Only thumb impression is sufficient in their case.
  • If the application is found to be in order in all respects and no other prior reference is required to be made, the passport is normally issued within 4 to 6 weeks. Please avoid making telephonic enquiries before six weeks as unnecessary telephone calls cause dislocation of work resulting in pendency.

CHANGE OF PARTICULARS IN PASSPORT LIKE NAME/ADDRESS ETC.

For substantial change of name in the passport, the change has first to be advertised in a daily newspaper both in the country of domicile and India (circulated in the area of permanent and present residence of the applicant). Original newspaper clippings and Court Order issued by a judicial officer not below the rank of First-Class Magistrate in India and affidavit (click here external) by the applicant are required to be submitted. In change of name cases, application for issue of a fresh passport should be submitted in accordance with the guidelines for Renewal/Reissue of Passports.

 

REGISTRATION OF BIRTH AND ISSUE OF PASSPORTS TO MINORS

Parents should register the birth of their child as soon as the birth takes place since the delay in registration of birth causes complications in grant of Indian citizenship and issuing passport to the child.  Online registration became compulsory w.e.f 15.04.2013.  Embassy can only register the birth of the child within one year of the birth.  After one year from the date of birth of the child, registration can only be done with the approval of the Ministry of Home Affairs, which takes considerable time- sometimes years.  Parents are therefore advised to register the birth of the child well within the stipulated time of one year.

Issue of Passport to Minors

  • Every child should have a separate passport.
  • Formalities for applying for passport for minor are same as applicable for issuing a new passport to an adult applicant.
  • For issue of passport for the first time to the children born under jurisdiction of this Embassy, registration of birth of the child and applying for a new passport can be done simultaneously.
  • The child can sign or put a thumb impression (if child cannot sign) on the application form which should be duly counter-signed by the parents or legal guardian of the child.
  • In case, one of the parents of the child is unable to sign the documents for any reason like staying away in a different country, the other parent should submit an Affidavit (click here for affidavit) externalin this regard.
  • The Parents of the minor should also submit an Affidavit taking full responsibility for the passport request of the minor. ( Click here for Affidavit and Declaration external ).
  • The parents of the minor should give a “No Objection” for issue of passport to their child and submit an undertaking stating that the child does not possess any other passport or does not hold any other nationality.
  • Self-attested copies of Resident Permit of the child (if issued) and that of the parents may be submitted. The photocopies should be in color and legible.
  • Photocopies of passports of parents, and Marriage Certificate of parents, duly attested and legalized should be submitted.
  • In case the names of parents in the Marriage certificate and Indian passport do not match, a duly notarized Affidavit should be submitted explaining the reasons for the mismatch. The names in the passports of the parents will be considered the correct ones for the purpose of issue of passport to a minor.
  • Four photographs as per specifications given on link: Renewal/Reissue of Passports should be submitted.

  Thumb Impression for PPTs for Minors/new born babies:

  • Thumb Impression of children who cannot sign may be put within the Thumb Impression Box itself (and not out of the box).
  • Parents should not sign in ‘signature column' or on/across the ‘photo' on behalf of minor children/infants or children who cannot sign. The parents should append their signatures on the last page of the form just after the thumb impression of the child has been imprinted.
  • If the child's name has been endorsed on mother's passport, then the mother has to fill in a miscellaneous service form (For Application form - Click here external) requesting for deletion of child's name from her passport.

Please note:

  • The validity of a passport for children under 15 years of age will be for 5 years only for a new passport.
  • Prescribed fee as per Fee Schedule under Consular link should be paid.
  • For applicants in the Islands, a duly paid courier envelope should be kept for return of the Passport.

 

DUPLICATE PASSPORT IN LIEU OF LOST/DAMAGED PASSPORTS

Lost Passport

Please submit your application form with the following documents:

  • Original Police Report along with English translation of the same duly notarized. Police report should contain all the details of the lost passport (No., date and place of issue), name of the applicant, etc.

  • Duly filled in application form along with photographs affixed in the given boxes. The form should be signed in original in ink. Photocopies of signatures cannot be accepted and the request for passports will be rejected.   • Four copies of Personal Verification with one photograph affixed in the given boxe on each form (For format of Personal Verification Form- click here external) .
  • Two extra photographs in an envelope (in all 7 photographs are required for each lost passport case, 5 to be pasted and 2 to be kept in an envelope). Photographs should be as per specifications given in Renewal/Reissue of Passports link.
  • An application in plain paper giving reasons for the loss of the passport.
  • In case of students, a letter from school/college certifying conduct of the applicant, should be submitted.
  • Affidavit (click here) external.
  • Photocopy of the previous (lost) passport with first, last, and address pages.
  • Copy of Residence Permit.
  • A letter from the employer certifying conduct of the official.
  • Photocopy of driver licence/Identity cards/work permit/stay permit (as applicable).
  • In case of documents not in English language, unofficial English translation should be attached.
  • All the documents should be submitted in five copies. In other words, all the five sets should be complete in all respects
  • The applicant should clearly mention in their applications, reasons for the damage. In case the Consular Officer is satisfied that damage has not been due to the negligence of the applicant, the normal fee might be charged in that case. However, in all other cases, Damaged Passport Fee given in Fee Schedule under Consular link will be chargeable.

Misrepresentation of facts may entail denial of passport facilities. Incomplete applications are liable to be returned at the sender’s cost and risk. A duplicate passport may not be issued for the second loss/damage of passport and habitual losers of passport will be subject to enquiry.
 It normally takes around three months in completing the process and duplicate passports can be issued only on receipt of clearances from the concerned authorities in India. Applicants are, therefore, requested to refrain from making written/e mail/telephone enquiries during this period

 

EMERGENCY TRAVEL DOCUMENT

An Emergency Certificate (one-way travel document) which authorizes an Indian citizen to enter India is issued to individuals who have lost their passports or their passports have been stolen or damaged and to whom new passports cannot be issued. This document is issued primarily with the objective of ensuring the applicant's return to India in an emergency.
